Closures
Weather and Closures
School Closures
If South Bend Community School Corporation closes schools due to severe weather, Enchanted Learners will also be closed for the day.
School Delays
If South Bend Community School Corporation announces a delay but schools are not closed for the day, Enchanted Learners will remain open as scheduled, unless weather or safety conditions require a cancellation.
Changing Weather Conditions
Weather conditions can change throughout the day. Enchanted Learners reserves the right to cancel tutoring sessions if snow, ice, or other weather conditions make travel unsafe. Weather-related cancellations may be announced as late as two hours before the session or earlier if conditions require.
The safety of students, families, and the tutor comes first.
Family Weather Safety
Even when Enchanted Learners remains open, families should use their own judgment when deciding whether it is safe to travel. If you feel that weather or road conditions make it unsafe to come to tutoring, please do not feel obligated to make the trip. Your family’s safety comes first, and I would never want anyone to put themselves at risk to attend a session.
Please contact Enchanted Learners as soon as possible if you decide not to attend due to weather conditions so we can discuss rescheduling.
Pick up
Timely Pickup
Students must be picked up at the end of their scheduled session. Enchanted Learners operates on a set schedule, and late pickups may affect other appointments and responsibilities. Parents or guardians should plan accordingly to ensure they arrive on time. Tutoring sessions cannot be extended beyond their scheduled end time or the library’s operating hours.
Repeated Late Pickups
Enchanted Learners understands that unexpected delays can happen. However, repeated late pickups may require a conversation with the parent or guardian to determine whether a different appointment time would better accommodate the family.
Our goal is to provide a safe, supportive learning environment while respecting the library’s operating hours and the time and commitments of all families.
Attendance
At Enchanted Learners, consistent attendance is an important part of student's progress. Regular tutoring sessions help students build skills, confidence, and positive learning habits.
I understand that life happens. Illness, family emergencies, unexpected circumstances, and scheduling conflicts can arise, and I will always do my best to approach these situations with understanding and compassion. However, consistent attendance and communication are necessary to maintain a successful tutoring relationship.
Attendance Expectations
- Students are expected to attend their scheduled tutoring sessions and arrive on time.
- Sessions will end at there originally scheduled time, even if a student arrives late.
- Parents or guardians are responsible for communicating absences or scheduling conflicts as soon as possible.
Unexplained Absences
Ten unexplained absences, cumulative and not necessarily consecutive, may result in the discontinuation of tutoring services. This means absences will be counted over the course of the tutoring relationship, even if they occur at different times.
No-Call/No-Show Policy
After three no-call/no-show occurrences, tutoring services will be discontinued. These occurrences do not need to be consecutive to count toward this limit.
Consistent Attendance and Communication
I understand that unexpected situations happen, and I will make reasonable efforts to be understanding when families communicate their circumstances. However, repeated absences, missed sessions, or a lack of communication can make it difficult to provide consistent support and maintain a reliable schedule for all students.
If attendance becomes a recurring concern, I may reach out to discuss the situation with the family. When attendance or communication issues continue, Enchanted Learners reserves the right to discontinue tutoring services.
Transportation
Enchanted Learners Transportation Policy
Enchanted Learners does not provide transportation services.
Parents and guardians are responsible for arranging all transportation to and from tutoring sessions. I will not pick up or drop off students at their home, a relative’s home, a babysitter’s home, or any other location.
This policy applies to all students and all tutoring sessions, without exception. Parents and guardians must ensure that their child arrives at the scheduled tutoring location and is picked up when the session ends.
Multiple siblings
Multiple Siblings Policy
I am happy to work with multiple children from the same family! For example, if one child is in kindergarten and another is in fifth grade, I can tutor both children during the same scheduled time, provided we agree on an arrangement that allows me to support each student’s learning needs.
Each child receiving tutoring services will be charged separately at the standard tutoring rate for their scheduled session length.
Enchanted Learners provides tutoring services for students in kindergarten through fifth grade. Any siblings who are not enrolled and scheduled to receive tutoring remain the responsibility of their parent or guardian. I am not responsible for supervising, entertaining, or providing childcare for children who are not receiving tutoring services.
My goal is to provide each student with meaningful support while maintaining a safe, focused, and productive learning environment.
Cancellation
At Enchanted Learners, I understand that plans can change and unexpected circumstances may arise. My goal is to balance flexibility for families while maintaining a reliable tutoring schedule.
Cancellations
Parents and guardians are encouraged to provide at least 24 hours’ notice when canceling a session whenever possible.
I understand that illnesses and emergencies can occur unexpectedly. If an illness or emergency occurs please notify me as soon as reasonably possible.
Rescheduling
Parents and guardians should submit rescheduling requests as early as possible. If you know by the morning of the scheduled session that you need to reschedule, please contact,me via text message.
Cancellations by Enchanted Learners
If I am unable to attend or must cancel a tutoring session, I will notify parents and guardians on the day of the scheduled session whenever possible. I will work with the family to arrange a rescheduled session when possible.
Ongoing Scheduling Concerns
I understand that illnesses, family emergencies, and other unexpected circumstances happen. I will approach these situations with understanding and compassion, and I ask families to communicate with me in the same way.
Repeated last-minute cancellations may require further discussion to determine whether the current tutoring schedule is a good fit. Repeated absences and missed sessions may also be addressed under the Enchanted Learners Attendance Policy.
Late arrival
Late Arrival Policy
Enchanted Learners understands that unexpected delays can happen. To help keep sessions fair for all students and families, the following late-arrival policy applies to all tutoring appointments.
Arrival and Grace Period
Families are expected to arrive on time for their scheduled tutoring sessions. A 15-minute grace period is provided for late arrivals. Parents or guardians should communicate as soon as possible if they anticipate being late.
Session Length and Payment
Tutoring sessions will end at their originally scheduled time, even if a student arrives late. Late arrivals do not extend the session or qualify for a discount, refund, or additional make-up time, as the scheduled time has been reserved specifically for that student.
Repeated Late Arrivals
Enchanted Learners understands that occasional delays are unavoidable. However, repeated late arrivals may require a conversation with the parent or guardian to determine whether a different appointment time would better accommodate the family.
Sickness
Enchanted Learners Sick Policy
At Enchanted Learners, the health and safety of our students and their families are a priority. To help maintain a healthy learning environment, students must stay home when they are ill or contagious.
When Students Must Stay Home
Students must not attend tutoring if they have any of the following:
- A fever of 100.4°F (38°C) or higher. Students must be fever-free for at least 24 hours without fever-reducing medication before returning.
- Vomiting, or diarrhea (more than 2 episodes within 24 hours.)
- Persistent or worsening cough.
- A diagnosed or suspected contagious illness, such as influenza, strep throat, or COVID-19, when they have not yet met the applicable return requirements.
When Students May Return
Students may return when their symptoms have sufficiently improved.
Students must also meet the fever-free requirement stated above and feel well enough to participate comfortably in their tutoring session.
Illness Within the Household
To help protect students and families, a student may not attend a tutoring session when someone in their household has a confirmed contagious illness. Please contact Enchanted Learners to discuss rescheduling.
School Illness Guidelines
If a student is sent home from school due to illness or is instructed to remain home because of a contagious illness, they may not attend tutoring that day.
If a student becomes ill during a tutoring session, their parent or guardian will be contacted and expected to pick them up promptly.
Communication
Preferred Methods of Communication
Parents and guardians may contact Enchanted Learners through the business email address or phone number provided at enrollment.
I make every reasonable effort to respond to communications within one business day during my regular business week. Response times may vary due to tutoring sessions, administrative responsibilities, holidays, or unexpected circumstances.
Cancellations and Absence Notifications
Text messaging is the preferred method for notifying me of an absence or cancellation. Please send the message by the required deadline, even if it falls outside my regular communication hours. I may not see or respond to the message immediately, but sending the notification on time ensures that you have communicated the cancellation within the required timeframe.
Please refer to the cancellation and attendance policies for additional details regarding absences, illness, and scheduling changes.
